Parade Joining Instructions

ASSEMBLY OF ENTRIES

The assembly area for parade entries will be in the designated area of the Sea View Point or along the road between Sea View Road and North Road and will be under the control of the Marshals employed by Poole Carnival Organising Committee. Lengthy vehicles (limited) will be directed to their set up are by official marshals only.

Small floats can be assembled in the Car Park but for Health and Safety you MUST advise all participants on your float to be aware of other moving vehicles.

Large floats can be assembled on Ashley Road as directed by the Control Marshals.

You are reminded that the parade will end at Branksome Recreation Ground so provisions should be made accordingly for your support vehicles to re-locate or for your return to Parkstone after the parade ends. Sea View Car Park will re-open to the public on our dispersal.

JUDGING

Judging will be made along the route with presentation of awards taking place at Branksome Recreation Ground on completion of the parade.

PARADE FORM UP

All entries in the parade will be ready to move at 11.00am under the direction of the Carnival Control Marshal and moved into position only.

No other entry should move until directed to do so by the Carnival Control Marshal

The lead vehicle will move off when advised to do so by the Carnival Control Marshal and proceed at a steady pace to Branksome Recreation Ground where all vehicles will end up for dispersal. Again Health and Safety should be monitored at all times for other moving vehicles and the viewinng public.

PARADE ROUTE

The lead vehicle will set off from Ashley Road in Parkstone at 11.15am and follow the following route:

Along Ashley Road, proceeding the whole length towards Branksome, turning left on to Alder Road, taking extreme care going down the hill to Branksome Recreation Ground, turning into Recreation Road where access to the Recreation Ground will be through the visitors car park as directed and on to the field close to the Pavilion in Park Ferme ready for judging.

Total distance is 1.9 miles and we anticipate total time from start to finish should be 1.5 hours.

All Application Forms should be sent to: Mr Trevor Hunter, 23 Freshwater Drive, Hamworthy, Poole. Dorset. BH15 4JG and received no later than 23 May 2014 with the exception of walking entries who can register on the day at arrival.

THE ORGANISERS RESERVE THE RIGHT TO REFUSE ENTRY TO ANY GROUP OR PARTICIPANT ON THE DAY IF IT IS CONSIDERED THAT THE ENTRY IS IN BAD TASTE OR NOT IN THE CARNIVAL SPIRIT.

PARADE GROUPS

GROUP (A) DECORATED FLOATS

Open to all mechanically propelled vehicles, with or without trailers, decorated in true carnival spirit, but NOT Trade Vehicles in Group C

Prizes will be awarded to the first 3 places as selected by the judges.

GROUP (B) YOUTH ORGANISATIONS DECORATED FLOAT

Open to mechanically propelled vehicles, with or without trailers, decorated in true carnival spirit, where the majority of participants are under 18 years of age.

Prizes will be awarded to the first 3 places as selected by the judges.

GROUP (C) TRADE VEHICLES

This group is for mechanically propelled vehicles entered solely for advertising a Company or Business. An entry fee of £25 is required in advance and entries in this group will be limited. First prize only will be judged.

GROUP (D) JUNIOR WALKING ENTRIES

Open to all persons entering on their own in fancy dress and under 16 years of age. Parental consent is required on the Application Form.

Prizes will be awarded to the first 3 places as selected by the judges.

GROUP (E) SENIOR WALKING ENTRIES

Open to all persons entering on their own in fancy dress and over 16 years of age.

Prizes will be awarded to the first 3 places as selected by the judges.

GROUP (F) GROUP WALKING ENTRIES

Two or more people wishing to enter together as a group irrespective of age. Parental consent is required on the Application Form for any group under 16 years of age. This group includes dance schools but not Majorettes, Baton Twirlers and alike.

Prizes will be awarded to the first 3 places as selected by the judges.

GROUP (G) VISITING CARNIVALS

Open to all visiting Carnival Groups providing they are on a decorated float or vehicle. Prizes awarded for the first 3 places as selected by the judges.

GROUP (H) MARCHING BANDS

These will be invited and accepted in advance by agreement to terms and conditions acceptable to both parties.

GROUP (I) MAJORETTES/BATON TWIRLERS

These will be invited and accepted in advance by agreement to terms and conditions acceptable to both parties.

All cups are issued on Carnival Day only and should be returned to an organiser at Branksome Rec prior to departure so they can be taken away and engraved accordingly. Any cups not returned will be charged to the representative of the recipient at the rate applicable at that time.

BEST CHARITABLE COLLECTOR (on the day)

The collector with the most money in their collection box will receive a certificate for their retention and a donation to their chosen charity.

The winners will be notified once all the collecting boxes have been counted with money collected listed.

Anyone can collect en route whether in fancy dress or not.

ONLY OFFICIAL COLLECTING BOXES ISSUED BY THE ORGANISERS CAN BE USED ANY OTHERS SEEN WILL BE CONFISCATED.

RULES AND CONDITIONS OF ENTRY

These Rules and Conditions are issued to safeguard all concerned with the carnival parade and must be read and understood before completing the Application Form attached. Compliance on the day by all concerned is a foregone conclusion.

MARSHALS

All official marshals of the organising committee must be treated with respect at all times as they are volunteers and there to help and assist and their instructions should be followed and respected too.

Each entry in groups A,B,C,G,H,I will nominate at least TWO responsible persons on their Application Form to marshal their own entry in the parade. Separate instructions for these marshals will be issued on the Acceptance Form. Should the nominated person not be available on Carnival Day a responsible substitute must be made known to the organisers prior to assembly.These marshals will mainly be responsible for the safety, conduct and behaviour of all persons connected with their entry. Should any assistance be required in the execution of this duty an official Marshal should be consulted.

SAFETY ON FLOATS

All floats will be inspected by a suitable Safety Officer as appointed by the Organising Committee prior to departure.

Open backed vehicles should have a safety restrainer at approximately one metre in height around the float if persons are being carried. NO participants being carried on the float should sit on the side of the vehicle with their feet dangling over the side. No alcoholic drink should be carried.

Drivers of all vehicles in the parade should be fully conversant with Health and Safety regarding their vehicles and the carrying of people on the rear. This includes the new requirement for insurance to cover the carrying of passengers on the rear of a moving vehicle and a copy of the insurance needs to be sent with the application form before acceptance will be considered.

The Organising Committee have public liability insurance but accept no responsibility for any loss, damage or third party claim in respect of any article, person, vehicle or injury sustained to a third party unless adjudged their direct fault. All entries are therefore strongly advised to enquire about insurance cover for this event.

No entry in the parade will be allowed to change their position in the parade unless directed by an official marshal.

All advertising material, merchandise, sweets, flags, balloons etc must only be handed to spectators willing to accept them. Under no circumstances must they be thrown or handed down from moving vehicles.

ALL PARTICIPANTS IN THE PARADE ARE WARNED THAT THE THROWING OR DISCHARGE OF ANY OBJECTIONABLE LIQUIDS OR SUBSTANCES (INCLUDING WATER) IN THE DIRECTION OF THE VIEWING PUBLIC OR OTHER PARTICIPANTS WILL BE TREATED AS AN OFFENCE BY THE POLICE AND IS LIABLE TO PROSECUTION

St John's Ambulance Brigade will be in attendance on the day and an ambulance with first aiders will be at the end of the parade if needed.
